Responsibilities
- Objective 1: (Support the different activities that ensure the smooth running of supply chain):
o The procurement of office supplies, equipment and materials needed in base office if requested
o Participate in the updating price and supplier catalogue.
o Participate in the organization of Archive documents, hard and soft copy under the guide and instructions of Base Log.
o Elaboration of procurement documents such as PR, SPO, Contracts, AT, AF and Reception Notes.
- Objective 2: (Fleet and Movement Management):
o Vehicle maintenance: Submit the maintenance request according to the weekly car maintenance checklist
o Monitoring and analysis of indicators related to the vehicle fleet: Prepare monthly fuel report with collecting and checking accurate data and submit a qualitative report to the Log Base
o Movement planning: Prepare a clear movement plan with the requester every week
o Movement organization: Follow up the daily movement included the driver assignation, the adequate complete documentation, the car availability.
- Objective 3: (Premises management):
o Office maintenance: Submit the premises maintenance with the LPE and repair card and plan and follow up the premises maintenance Raise PR if necessary to upgrade the premises environment.
o Prepare an accurate and qualitative monthly office inventory report for validation, Raise PR if necessary
o Key Management: Update the key logbook and perform the monthly review of the key holders
o Energy: Plan the monthly maintenance for generators, ACF, any relevant energy sources - Office communication
- Objective 4: (Stock management):
o Prepare an accurate and qualitative monthly stock report for validation
o Ensure that the stocks are organized and cleaned and respect ACF standards and procedures
o Ensure that the items are labelled and safely stored
o Follow up on the request for stock in and out
- Objective 5: (Equipment management):
o Prepare an accurate and qualitative monthly equipment list for validation
o Submit and follow up for the equipment maintenance
o Ensure that the equipment is properly labelled, recorded, and safely stored
o Report for any equipment needs
Qualifications
- Highschool degree
- Technical specific knowledge in Procurement / Negotiation / Planning,
- Previous experience: 1-2 years minimum experience working in a similar position.
- Humanitarian sector knowledge: Preferred
- Active driving / Valid Driving License / Syrian Roads.
- Languages: Arabic / English (preferred)
- Basic computer skills.
- Mobility: Able to move inside the country.
