Responsibilities
1. Project Implementation Support:
-Support day‑to‑day implementation of project activities in accordance with the approved work plan and timelines.
-Coordinate closely with field teams and support departments to ensure activities progress smoothly and efficiently.
-Follow up on procurement, logistics, and administrative needs related to project implementation and ensure timely completion of requests.
-Participate in project planning meetings, field missions, and coordination forums as required.
2. Monitoring, Data Collection & Information Management
-Collect, verify, and consolidate project data from field teams using standardized tools.
-Maintain up‑to‑date databases, trackers, and beneficiary lists while ensuring accuracy, completeness, and confidentiality.
-Support the development and implementation of monitoring tools, including activity follow‑up sheets, attendance lists, distribution reports, and feedback forms.
-Conduct field visits (as required) to monitor activity progress and verify data quality.
-Identify gaps, risks, and challenges based on field observations and report them to the security focal point.
3. Reporting and Documentation
-Prepare timely, high‑quality internal and external reports, including:
• monthly, quarterly, and annual progress reports
• donor reports and annexes
• activity summaries and meeting minutes
-Ensure all reports follow organizational and donor templates, standards, and submission deadlines.
-Document lessons learned, success stories, human‑interest stories, and good practices for internal and external use.
-Maintain a well-organized digital archive of project documents, reports, attendance sheets, photos, and supporting documents.
4. Compliance, Quality Assurance & Accountability
-Ensure that project implementation and reporting comply with donor requirements, organizational policies, and project agreements.
-Support field teams to adhere to safeguarding, PSEA, accountability, and Do No Harm principles.
-Ensure supporting documents are complete and properly filed for audit and verification purposes.
-Track project indicators and progress against the logframe, providing updates to the line manager as needed.
6. Support to Program Development
-Contribute to the development of concept notes, project proposals, and donor reports by providing data, context updates, and field insights.
-Assist in drafting project implementation plans, risk matrices, concept notes, and other program development tools.
7. Other Duties
-Support emergency response tasks when required based on organizational priorities.
-Perform any other relevant duties assigned by the line manager to ensure effective project implementation.
Specific Vacancy Requirements

Duration of Position: 6 months contract. This is a project based position, contracted candidates might get an extension to their contracts based on the available funds and the need for this position in future projects. This project ends by October 2026.

Together with the affected communities, we work on the RECOVERY until they can provide to take care of their livelihoods. The work of ZOA is coordinated from the Netherlands. ZOA has provided emergency relief to Syrians in Syria and neighbouring countries since 2014. After registration with the Ministry of Foreign Affairs (MOFA) in 2018, the organization established an office in Damascus in 2019. Since then, ZOA has been working with crisis affected communities across Livelihoods, WASH, Education and Shelter sectors. ZOA implements directly, as well as through local partners. ZOA seeks to reach the most vulnerable groups- women, children, elderly, female headed households, persons with disabilities and internally displaced persons.
