Responsibilities
1. Operational Management:
• Execution of Logistics Activities: Ensure the effective and timely implementation of all logistics activities, including procurement, warehousing, and fleet management, under the guidance of the Logistics Coordinator.
• Team Supervision: Directly supervise the Logistics Officer who also supervises Logistics Assistants, ensuring they have the necessary support and resources to perform their roles efficiently.
• Compliance and Reporting: Ensure all logistics operations comply with SIF policies and procedures and produce regular reports on logistics activities for the Logistics Coordinator.
2. Procurement Management:
• Support to Procurement: Support the procurement processes managed by the logistics coordinator, ensuring that procurement activities align with SIF standards and are conducted transparently and efficiently and in line with SIF procurement standards.
• Supplier Management: Assist the Logistics Officer in maintaining supplier databases, ensuring that all procurement activities adhere to the highest standards of quality, cost-effectiveness, and ethical standards. Support the Logistics Officer in managing supplier relationships, ensuring that contracts are accurately executed and consistently upheld.
• Documentation and Compliance: Ensure that all procurement documentation is accurate, properly archived, and accessible for audits. Ensure compliance with SIF procurement policies and procedures.
• Market Analysis: Support the Logistics Officer in conducting regular local market surveys to stay informed on the availability and pricing of local goods and services
3. Warehouse and Stock Management (Supportive Role):
• Collaboration: Work closely with the Logistics Coordinator and Logistics Assistant responsible for warehousing and stock management to ensure that goods are stored securely are easily accessible for dispatch.
• Inventory Control: Oversee regular stock levels and reconciliations and ensure that any discrepancies are reported and addressed promptly.
• Health and Safety: Ensure that all warehouse operations comply with health, safety, and security protocols, and that the storage environment is maintained to the highest standards.
4. Fleet Management:
• Fleet Operations: Supervise the Logistics Assistant responsible for fleet management, ensuring that all vehicles are maintained, insured, and roadworthy at all times.
• Driver Management: Ensure that driver schedules are managed effectively and that all drivers comply with SIF driving policies.
• Vehicle Reporting: Oversee the preparation of monthly vehicle usage reports, ensuring that they meet organizational standards and are submitted on time.
5. Team Leadership and Development:
• Capacity Building: Provide guidance and training to the logistics officer and assistants, fostering an environment of continuous learning and professional development.
• Performance Management: Conduct regular performance evaluations for Logistics Officers and oversee Assistants, providing feedback and support for their professional growth and ensuring that goals are met and areas for improvement are addressed.
6. Coordination with Logistics Coordinator:
• Strategic Alignment: Work closely with the Logistics Coordinator to ensure that all logistics activities align with the broader mission strategy and operational goals.
• Operational Reporting: Provide the Logistics Coordinator with regular updates on logistics operations, highlighting any issues that require higher-level decision-making.
• Implementation of Strategic Initiatives: Support the Logistics Coordinator in implementing strategic logistics initiatives, ensuring that they are operationalized effectively within the team.
• Coordination with Field Teams: Work closely with field teams to ensure that procurement activities meet their needs and support programmatic objectives.
7. Additional Responsibilities:
• Risk Management: Identify and mitigate risks related to logistics operations, ensuring that all activities are conducted safely and securely.
• Process Improvement: Continuously seek opportunities to improve logistics processes, enhancing efficiency and effectiveness across all areas of responsibility.
Qualifications
• At least 3 years of practical experience as logistics specialist & 2- years as senior logistics officer or Manager in humanitarian/development program
• University degree in procurement / logistics and supply management or closely related fields
• Solid experience on suppliers’ contract management (from drafting, supplier performance, up to payment and termination).
• Good knowledge and experience of asset management and storekeeping;
• Previous experience of working on humanitarian Programmes in SIF’s sectors of operation, particularly WASH, livelihood, food security, Education and protection.
• Demonstrable ability to think creatively and practically to improve logistics management
• High degree of computer literacy and word processing and Excel skills
• Excellent interpersonal and negotiation skills with demonstrable ability to lead, influence, and motivate others in a diversity of contexts and functions
• Excellent self-awareness, as well as strong analytical and critical thinking skills.
• Excellent communication, facilitation, and team building skills.
• Ability to plan workload and demonstrate accountability for outputs with minimal direct supervision.
• Good organizational skills including accuracy, consistency, attention to detail, tenacity, and the ability to work under pressure.
• Fluency in English (verbal and written).
