Overall, Purpose of the Assignment
Under the supervision of the Senior Supply Officer, the incumbent will support the modernization of Supply Function reporting through the development of business intelligence solutions, interactive dashboards and automated analytical tools that improve operational monitoring, performance measurement and management reporting across procurement, inventory, warehousing, logistics and related supply chain activities.
Duties and Responsibilities
The incumbent will perform the following functions:
Business Intelligence and Dashboard Development
Develop, maintain and continuously improve interactive dashboards and automated reporting tools using Microsoft Power BI, Microsoft Excel, Power Query and other appropriate business intelligence applications.
Support the development of dashboards covering key supply chain functions, including:
- Procurement performance
- Inventory management
- Warehouse operations
- Pipeline monitoring
- Customs clearance
- Order fulfilment
- Supply Chain Key Performance Indicators (KPIs)
- Distribution performance from a supply perspective
- Executive management dashboards
Promote the automation and standardization of recurring reports to reduce manual processing and improve reporting efficiency.
Supply Chain Data Analysis
Compile, consolidate and analyse supply chain data extracted from UNHCR business systems.
Prepare analytical reports relating to:
- Procurement activities
- Inventory management
- Warehousing operations
- Logistics
- Customs clearance
- Pipeline management
- Order fulfilment
Identify trends, operational bottlenecks and performance issues, and provide analytical information to support management decision-making.
Order Fulfilment and Distribution Support
Develop dashboards and reports to monitor order fulfilment throughout the supply chain.
Support the monitoring of key indicators, including:
- Order fulfilment rates
- Outstanding purchase orders
- Open orders
- Delivery lead times
- Distribution status
- On-time deliveries
Support the analysis of distribution plans from a supply perspective by monitoring supply availability, warehouse dispatch performance and distribution progress.
Supply-related Post Distribution Monitoring (PDM)
Support the analysis of Post Distribution Monitoring findings relevant to the Supply Function.
Prepare summary reports and dashboards on supply-related indicators, including:
- Timeliness of deliveries
- Availability of assistance
- Completeness of deliveries
- Damaged or missing items
- Supply-related beneficiary and Client feedback requiring corrective action
The incumbent will support only the analysis of supply-related information and will not be responsible for programme-led Post Distribution Monitoring activities.
Reporting Automation and Process Improvement
Review existing reporting processes and recommend practical improvements through automation and standardization.
Develop reporting templates, dashboards and analytical tools that improve reporting consistency while reducing manual consolidation.
Data Quality Management
Review supply chain data sets to identify inconsistencies, duplicate records, missing information and other data quality issues.
Support improvements in the quality, consistency and reliability of supply chain data used for management reporting.
