Responsibilities
· Maintains necessary preparations prior each training and fulfill related tasks during and after training courses.
· Issue PRs for training needs (hotel reservation, rooms' reservation, per-diem, transportation, copying training materials and certificates or any other training needs) etc...
· Prepare all the training needs (training materials, stationary, copying papers) before the training to deliver them before a day of the training.
· Estimate amount of CA needed for training needs, and any other related needs and close CAs for office, training.
· Makes purchase requests for program needs after reviewed by psycho-social coordinator/manager.
· Prepare all related allowances breakdown for the training.
· pay per-diem and transportation allowance for training participants and ensure all related documents are ready for closing process.
· Prepare attendance sheets, per-diem and transportation forms, CDs related to the training.
· Prepare certificates and make sure to send them for stamping and signatures to deliver on time for the participants.
· Solve all financial problems & discrepancies from each training,
· Translates documents as required and assigned by program officer.
· Organize and prepare memos and official correspondence for any training issues;
· Prepares GIOs when needed;
· keep regularly update the database for training.
· Check and submit attendance sheets and Weekly documents to the finance and logistic.
· Data entry for all related trainings’ data & information in Training System.
· Maintains daily correspondence with PSS staff.
· Ensure all Admin related tasks to be handled and submitted on time.
· Assist Training Officer in Solving effectively any complaint or problem related to each training.
· Ensure all the documents related to training (Pre/post test. Feedback, attendance sheet, copies of work orders & PRs, contact info, related photos …, etc) are properly store, tracking system is in place and maintained and data are available at any given time.
· Analyze data in an appropriate way in order to use in reports.
· Assist Training Officer in Collecting both participant and trainer feedback and regularly discuss with Technical Unit.
· preparing SSA and approval letters (Such as SARC letters… etc.) when needed.
· Preparing different reports as required from Training Officer.
· Sending invitations to different NGOs to attend Various training programs with making sure that all needed accommodations for participants and related conference room reservations are in place as requested.
· Assist Training Officer in providing any related inputs regarding procurement plan, pipelines and calculation of costs for proposed trainings when needed.
· Represent effectively Training Officer in any meeting if needed.
· Coordinate with NGOs for the training.
· Maintains PSS program files;
· Translates documents as required and assigned by Training Officer and ensure transparent record keeping;
· Organizes and assists memos and official correspondence for training needs;
· Makes purchase requests for PSS program needs after reviewed by Psycho-social coordinator/manager.
· Other tasks as requested from Training Officer.

Qualifications
• Minimum of bachelor's degree preferably in business administration, or any other related field.
• Minimum of two years of experience in working with psycho-social and/or other social programs with international or local NGOs.
• Fluency in English and Arabic is an essential.
• Previous management experience in psychological or social programs is a privilege
• Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
• Must show flexibility and be able to adapt to a stressed working environment if required.
• Willingness to work with a diverse team of expatriates and nationals.
• Knowledge of computer applications and programming.

Specific Vacancy Requirements
Dealing with internal and external parties to facilitate all trainings'.
May require to travel internally "when needed".
