Responsibilities
Objective 1: (Support the different activities that ensure the smooth running of supply chain)
- Responsible for the procurement of office supplies, equipment, and materials needed in the Hassakeh office if requested.
- Participate in updating the price and supplier catalogue.
- Participate in organizing and archive documents, hard and soft copies and Keeping the NHF updated.
- Prepare procurement documents such as (PR, PLs), SPO, Contracts, AT, AF, and Reception Notes.
- Supply chain and orders follow-up.
- A weekly report of the ongoing and closed procurement dossiers.
- Assist the Logistic Officer in the follow-up of the logistics reporting.
Objective 2: (Fleet Management)
- Participate in the maintenance of the fleet by preparing the needed documents if requested.
- Responsible for the weekly and daily planning (movement plan, transport request).
- Responsible for the cost follow-up.
- Responsible for the management of travel/accommodation/cargo dispatch if requested.
Objective 3: (Equipment management)
- Responsible for the update of the equipment list and inventory list with Driver/Log assistant.
- Responsible for equipment and assets management.
- Report immediately any loss and serious damage to the equipment.
- Participate in the monthly checking/physical inventory of assets and equipment.
- Participate in the update of the Hibernation and First Aid Kit Stock.
- Ensure that all premises have adequate safety equipment (fire extinguishers, lights, etc.).
- Support the Logistics Officer in ensuring that all ACF premises in Hassakeh are secure, complying with the safety rules as per ACF Guidelines
Objective 4: (LINK)
- Participate in creating and updating Advanced Purchase Dossiers and Frameworks and other details in Link and uploading the related documents.
Qualifications
- 1 year minimum experience working in a similar position
- Technical knowledge in procurement, negotiation, and planning.
- Familiarity with the humanitarian sector (preferred).
- Organizational Knowledge (Preferred).
- Languages: Arabic and English.
- IT Skills: Proficiency in Microsoft Office.
