Responsibilities
Scope of Services:
The IT service provider shall be responsible for:
• Equipment readiness and maintenance
o Provision, inspection, and verification of all required audiovisual (AV) equipment, including cameras, microphones, speakers, projectors or displays, and any backup equipment.
o Ensure network connectivity is available and stable for both on-site and hybrid participation.
o Verify power supplies, battery backups, cabling, and proper mounting/placement.
o Conduct a pre-event equipment check and a post-event wrap-up inspection.
• Audio capture and distribution
o Ensure all microphones are positioned and tested for clear sound capture.
o Confirm that the main room speakers deliver clear, even playback without feedback or distortion.
o Validate that on-site attendees’ voices are clearly transmitted to online participants and recorded if required.
• Online meeting and translation access
o Provide and maintain a stable Zoom (or approved platform) environment with appropriate channels for real-time translation.
o Ensure online attendees have access to translation channels, appropriate language supports, and that translation feeds are synchronized with the main meeting audio.
o Manage breakout rooms, if applicable, and ensure seamless transitions between channels.
• Network and connectivity
o Ensure reliable wired/wireless network connectivity with sufficient bandwidth for video and audio streams, screen sharing, and translation feeds.
o Implement redundancy plans for key components (e.g., backup internet link, redundant audio paths) where practical.
• Issue detection and resolution
o Monitor AV and IT systems during setup, the run of show, and teardown to identify potential issues.
o Respond to IT incidents that could affect meeting quality (audio dropouts, video freeze, latency, translation channel problems, access issues) within defined response times.
• Compliance and safety
o Ensure all equipment and operations comply with safety standards, licensing requirements (e.g., software licenses, Zoom licenses), and organizational policies.
Deliverables
• Pre-event readiness report: Equipment list, verification checklist, network readiness, and contingency plans.
• Live operation: Real-time monitoring, issue logging, and on-site/remote support during the event.
• Post-event report: Equipment performance review, issues encountered, actions taken, and recommendations for future events.
• Access and logs: Translation channel access logs, attendee count, and any platform-related metrics as required.
