Responsibilities
Main goals:
The HR Assistant will support the effective implementation of Human Resources processes and system at Tdh in Syria. This includes providing administrative support across the full employee cycle, maintaining accurate HR records, and ensuring that HR operations are carried out in a timely, compliant, and efficient manner.
The role aims to strengthen the HR department’s capacity to deliver high-quality services to staff and management, ultimately contributing to Tdh’s mission by ensuring a well-supported and well-managed workforce. The HR Assistant will work closely with the Sr. HR Officer, and the MENA regional office to en-sure consistency with internal policies, donor requirements, and global HR standards.
In this role, the HR Assistant serves as a key focal point for HR documentation and administrative coordination, contributing reliability, attention to detail, and professionalism to support a transparent, organized, and responsive HR function within Tdh in Syria.
Responsibilities:
- Support the maintenance, updating, and archiving of employee files, ensuring accuracy, completeness, and strict confidentiality.
- Assist throughout the recruitment process, including posting vacancies, screening applications, preparing longlists, coordinating written tests and interviews, conducting reference checks, and preparing job offers.
- Support the onboarding process by preparing induction materials, ensuring timely completion of required documentation, and guiding new hires through initial HR procedures.
- Monitor attendance, leave balances, and absences, ensuring proper documentation and timely follow-up with staff and supervisors.
- Assist in preparing and processing HR documents, including contracts, contract renewals, end-of-contract letters, and other official HR communications.
- Prepare and disseminate monthly timesheets and follow up on timely submission and accuracy.
- Support the HR department in collecting employee signatures for mandatory declarations such as dual employment, conflict of interest, and other organizational policies.
- Provide administrative support for the recruitment and management of volunteers and enumerators, ensuring their documentation is properly filed and archived.
- Support the coordination office by preparing and providing required documentation for audits.
- Assist in the planning and coordination of internal trainings and workshops, including scheduling and logistical arrangements.
- Organize, classify, and securely archive HR documentation in accordance with Tdh archiving policy and procedures, ensuring updated inventories of archived materials.
- Process monthly payroll and administer benefits. (optional)
- Maintain effective communication with the HR and program teams to ensure smooth HR operations in the Lattakia office.
- Perform any other relevant tasks assigned by the HR Department, Finance, Logistics, or Project Manager based on operational needs.
Qualifications
- Bachelors degree in Human Resources, Business Administration, Economics, or a related field.
- Strong interpersonal and communication skills, with the ability to interact effectively at all levels.
- High level of cultural sensitivity and the ability to work well with diverse teams.
- Strong sense of confidentiality, professionalism, and ability to handle sensitive information appropriately.
- Demonstrated adaptability, resilience, and commitment to maintaining a positive and healthy work environment.
- Ability to build and maintain effective working relationships with colleagues from different cultural and professional back-grounds.
Experience:
- Minimum of three years of professional experience in Human Resources.
- At least two years of experience within an INGO is required, experience with a local NGO (L-NGO) will be considered an added advantage.
Languages:
Fluency in Arabic is essential. Fluency in English is mandatory.
IT know-how:
Experience in using such computer software as Microsoft Office, knowledge of database package MS Excel.

- Confidentiality and professionalism in handling sensitive employee information and HR docu-mentation.
- Good understanding of HR procedures, recruitment steps, and administrative workflows.
- Proficiency in MS Office applications (Word, Excel, Outlook) and ability to work with digital ar-chiving or HR systems.
- Self-motivated, proactive, and able to work both independently and as part of a team, with flexibility and adaptability to changing operational needs.
