The Logistics Assistant is responsible for supporting the procurement and logistics team for executives.
Procurement processes, managing assets and inventory, and overseeing the fleet and transportation
needs in compliance with the organization’s standard operating procedures (SOPs) and donor
requirements.
1. Procurement
- Assist in identifying suitable and reliable suppliers, vendors, and service providers.
- Support the procurement of goods and services, ensuring compliance with legal procedures and
organizational guidelines.
- Maintain and update a list of preferred suppliers and assist in preparing contracts and purchase
orders.
- Support the Logistics Officer in market analysis to keep procurement data up to date.
2. Documentation and Archiving
- Ensure the proper and timely archiving of procurement and logistics-related documents,
ensuring all files are well-documented and organized (ledgers, requisition orders, stock cards,
inventory reports).
- Maintain accurate records of procurement and supply chain activities for audit and reporting
purposes.
3. Fleet and Transportation
- Assist in the management of the organization’s fleet, including vehicle maintenance, logbooks,
and first-aid kits.
- Coordinate staff transportation within the base and other locations as needed, ensuring all
Safety protocols are followed.
- Ensure security protocols for vehicle movements and staff safety are adhered to.
4. Asset and Inventory
- Support the Logistics Officer in maintaining accurate asset records, including coding, labeling,
and tracking assets across the office and project sites.
- Assist in regular physical inventory checks and ensure proper documentation and reporting of
asset usage.
- Ensure the correct implementation of asset handovers, transfers, and returns, and update the
asset database accordingly.
5. Premises and Maintenance
- Assist in maintaining office facilities, guest houses, and staff accommodation, including utilities,
repairs, and safety compliance.
- Coordinate with service providers for maintenance and ensure the timely completion of all
required repairs.
6. Coordination and Communication
- Support in handling correspondence with relevant authorities and stakeholders, such as SARC,
for official communications, permits, and approvals.
- Liaise with internal departments such as finance and HR to ensure smooth logistics and
procurement processes.
7. General Support
- Carry out any other task that may be assigned by the Line Manager, including supporting audit
preparations and external evaluations.
- Ensure compliance with WW-GVC logistics guidelines and standards at all times.
- Perform any other tasks assigned by the supervisor as required and related to the nature of work.
Qualifications
At least 1 year experience in same or similar position.
- At least 1 years of experience with a humanitarian INGO/NGO (preferably).
- Languages: Good in Arabic and English.
- Good communication and coordination skills.
- Good knowledge of Procurement Principles and Standards.
- Knowledge of the MS office software (including Word, Excel, Outlook and PowerPoint).
- High reliability, flexibility, and responsive.
