1- Recruitment and placement
1) Initiating employment:
Receiving recruitment requests.
Conducting job analysis for new positions.
Advertising vacancies on the company website, newspapers, or magazines.
2) Selecting candidates:
Screening the CVs and selecting the most suitable for the vacancy.
Testing, interviewing, and evaluating candidates.
Coordinating with the relevant department manager to set a second interview to select the appropriate candidate.
3) Recruiting Job candidates:
Collecting the required documents for the new recruits.
Filling the recruitment sheet.
Preparing the contract and coordinating the signature before the starting date of the new recruit.
Creating a personal file (PF) for the new recruit.
Ensuring that he/she has the required tools to start the job (Desk, PC, stationary, punching code, phone extension, mail access..etc)
Coordinating the following:
o Payroll notification to Accounting.
o Social security enrollment.
o Formalities with the bank for the salary transfer.
o Medical Insurance.
4) Orientation for the new recruit:
Introducing job descriptions to the new employees.
Setting up orientation program with coordination of the other company departments.
Presenting the HR section of the orientation.
Following up on submission of performance appraisal upon completion of probation period.
Following up on the new recruit’s on-the-job training at his/her department.
2- Training and development
Investigating training needs of employees in coordination with head of the department.
Planning, supervising, and coordinating the training and development methods through coordinating in-house and external training.
Communicating with LOMA for the registration of employees at exams through the lomanet portal (course purchase, payment, recharge, setting exams for students, and proctoring the exam)
Setting career paths for employees and ensuring that they are receiving the necessary training and education.
Suggesting promotion for exceptional employees and preparing the related promotion letter.
3- Performance Appraisal
Ensuring that the performance appraisal is prepared fairly and objectively for all employees at the end of each year.
Following up on timely submission of performance appraisal before end of probation period.
4- Employees compensation and recognition programs
Determining salaries of new employees based on the salary scale of the company.
Following up on employees’ loans and advances.
Following up on cellular allowances.
Following up on overtime payments.
Reviewing end of year increments based on performance, experience and promotions.
Suggesting end of year bonuses.
Following up on employees gifts (wedding, birth, etc…)
Maintaining and monitoring recognition program (employee of the month, employee of the year) through voting system in coordination with the heads of departments.
5- Leaving employees:
Receiving a written notice two months before leaving and coordinating for resignation signature.
Conducting exit interview.
Preparing clearance sheet.
Retrieving items on custody.
Deactivating employee from the system.
Sending request to IT to deactivate all accesses (e-mails, applications, etc…)
Preparing letter for reminder of confidentiality.
Making sure of receiving copy of the disenrollment of social security from the accounting department.
Preparing attestation/ recommendation letter.
6- Personnel Records
Maintaining employees’ personal files (PF) and ensuring that all documents are well filed.
Updating and maintaining database records on HR System of applicants and of employees by entering:
1. The vacation leaves and sick leave
2. Promotion
3. Increment
4. Bonus
5. Warning and notice
6. Title
7. Grade and level
8. Training/ Education
9. Performance appraisal.
7- In charge of generating MIS reporting of the department:
Recruited & Leaving employees
Sick Leave Report
Vacation Balance report
End of year Bonus
HR Business Plan
Training and development
Performance appraisal report
Training implemented
Professional Education
Attendance Spot-check
8- Misc:
Custodian of the Outlook Address book, ensuring it’s updated and properly maintained.
Update database of existing Job descriptions, Organization charts.
