Responsibilities
1- Personnel Function:
- Enter & update the data in the HR system.
- Check and report any bug in the system and follow up for maintenance.
- Prepare and follow up PUI resignation/end of contracts documents (clearance form, certificate of employment…)
2- Payroll & related payments
- Double check that the employee data are updated before processing the payroll
- Reflect salary changes in the payroll: seniority increase, change of position
- Collect the needed data from Finance
- On a monthly basis, prepare the payroll internal and external documents
- Ensuring payroll amounts are in the bank, upon allocation updates by communicating the payroll amounts to Finance
- Ensure that all salary related payments have been collected (for special Cases of Cheque payments)
- Coordinate with the bank concerning all salary domiciliation matters
- Print the salary sheets when requested and answer questions of Staff
- Prepare the End of Service payments
3- Social Security and Income Taxes issues
- Responsible of the Registration & Separation of Staff
- Withdrawal of the monthly payment for the Social Security ensuring sending all required documents and information to the finance department.
- Ensure the reconciliation of organogramthe social security payment.
- Prepare the needed documents to reflect any changes in the salary and register it.
- Prepare the annual list for the Social Security
- Prepare any needed documents related to the social security
- Prepare the needed documents for the income taxes Payments.
- Ensure the payment of the income taxes to the ministry of finance and collect the supporting documents.
- Double check that the employee’s data are updated before processing the payroll
- Reflect salary changes in the payroll: seniority increase, change of position
- Collect the needed data from Finance
- On a monthly basis, prepare the payroll internal and external documents
- Ensuring the reconciliation of the income taxes payment.
4- Attendance
- Receive, check & process the leave requests
- Communicate and follow up with the staff concerning all matters related to their leaves
- Reflect the impact of attendance in the payroll
5- Medical Insurance ( In coordination with Admin Officer)
- Follow up with Logistic department to renew the Medical insurance contract.
- Study the quotations and choose the most appropriate offer.
- Follow up with selected company to sign the contract after obtaining the necessary approvals & with finance department.
- Provide finance department with the details of Medical insurance.
6- Budgetting
- Update the allocation table for local staff on monthly basis
- Update the forecast of the FFU
- Prepare the staffing cost list for new proposals.
- Check the allocation of the salaries in coordination with the head of Finance
7- Audit
- Prepare the HR documents needed for the external audit check
- Prepare the HR documents needed for the HQ monthly check
8- HR Policies
- Create policies to each part of HR functions according to PUI regulations & obtaining the necessary approvals.
- Making sure that these policies applied in good manner.


Qualifications
- Bachelor/ License Degree in Human Resources or Law or any other related discipline (A Master Degree is a plus)
- A minimum of three years of relevant management experience.
- Advanced Level of English and Arabic languages
- Proficient of Ms. Office package and & Proficient user of HR Software.
- Knowledge of international organizations procedures
- Knowledge in the Syrian Labor Law.
