Responsibilities

Under the supervision of the Procurement Officer, the Logistics and Administration Assistant's functional responsibilities include, but are not limited to the following:

Provide logistics support in organizing high level meetings, conferences, workshops and retreats,
Coordinate and process travel request as required and update the programme database accordingly;
Process requests for visas and liaise with travel agent and/or national mission to ensure timely processing of visas
Gather information for procurement process below $5,000 in line with procurement rules and guidelines.
Review/process purchase requisitions for parts and supplies; review vendor bid responses for tools, equipment, parts and services.
Provide guidelines, instructions, and support to Drivers in accordance with the established procedures.
Provide transportation services including client service, driver log, regular service maintenance, insurance and monitoring of consumption.
Ensure prompt reporting and investigation of vehicle accidents, damage, loss of theft of items, update and maintenance of vehicle history report.
Identify/coordinate training needs for driver employees.
Track fleet usage and maintain accurate inventory of equipment.
Ensure the maintenance records for fleet are accurate and up-to-date.
Follow the rules and regulations of driving UNOPS/UNMAS vehicles at all times.
Ensure the safety and security of vehicle, staff and cargo, ensuring that road discipline and traffic rules are observed.
Support with protocol matters and coordination with local authorities on support matters
Assist on routine administrative and process problems, referring complex issues to supervisor with recommendations for course of action;
Draft minutes and prepare standard report as required
Receive shipments, customs clearance arrangements, preparation of documents for shipments (received/sent), arrangements for shipments.
Prepare all necessary documentation, implementation of follow-up actions, drafting correspondence related to shipments/customs clearance;
Perform any other duties as required.


Qualifications
Education and Relevant Years of Experience:

High School Diploma with four years relevant experience; or
First-level University degree (Bachelors or equivalent) in Business Administration, Project Management, Natural Sciences, Social Sciences, Economics, Logistics or related fields with one year of relevant experience; or
Diploma in management, Logistic management, transport or related fields with two years of relevant experience.
Work Experience

Relevant experience is defined as experience in Administration and Finance, or Procurement, or Human Resources, or Logistics.
Good computer skills, including MS Word and Excel is required;
Experience in travel management is required;
Experience of ERP systems is desired.
Languages

Fluency in English (writing, speaking and reading) is required;
Fluency in Arabic (writing, speaking and reading) is required;
Knowledge of another UN official language is desired.
Certification

Valid Driving License is required.
