Responsibilities
1. Check all kinds of received contracts forms in terms of availability, to ensure that they contain the required information, legal documents, financial receipts, signatures and needed approvals if any and distribute them to the concerned Sites Contracts/Legal Advisory Head of Section.
2. Prepare, scan and archive Virtual Contracts and related documents.
3. Check the received investor relations contracts to ensure that they contain the required information, legal documents, and approvals and follow up the signature cycle.
4. Check all insurance contract and related documents (except health and life insurance contracts) and follow up the signatures cycle and archiving process.
5. Notify concerned within the Unit with all corporate obligations in a timely manner and follow them up.
6. Control the contracts renewal/cancellation process with the concerned Departments to avoid charging Syriatel for non-beneficial contracts or delay penalties.
7. Fill and update the life cycle of CRF (Contract Request Form), SRF (Site Request Form), legal advice and check receipts on CRTS (Contracts Request Tracking System).
8. Fill all data related to sites contracts on the related system.
9. Check and scan all contracts, the related documents of contracts, termination agreements and appendices using the Electronic Archiving System (Arc mate) and archive them as per the Indices of Records.
10. Follow up on the process of paying stamp fees and signature cycle of all contracts with the concerned Departments and Units.
11. Coordinate with concerned Department to inform them about all archived contracts, appendices, and documents to organize payments processes.
12. Participate in the verification of received public claims and governmental letters against contracts.
13. Create a brief summary for the contracts on the main screen of Arcmate.
14. Follow up and control the life cycle of legal notifications on CRTS and archive them on SharePoint/Arc mate to ensure that the related cases are closed.
15. Verify sites rent claims received from the Procurement Department then send them to Finance Department.
16. Prepare lists and confidential business related documents in order to be sent and retained at the bank.
17. Conduct regular visits to the official newspaper offices to obtain the latest version of the newspapers
18. Archive on SharePoint any new or updated laws and regulations which are obtained from official newspaper.
19. Check and distribute the received legal advice requests through “Legal Support” account to the concerned Section.
20. Check and update bad debt customer’s status in terms of legal notifications in coordination with Lawsuit Section and Credit & Collection Analysis Section.
21. Check, scan and archive the stock ownership certificate and deeds of assignment.
22. Archive and index resulted records related to all corporate obligations of all related companies.
23. Prepare and archive the drafts agenda of the General Assemblies (ordinary and extraordinary) & Board Meetings of Syriatel and Related Companies.
24. Prepare and send invitation letters to the “Ministry of Internal Trade and Consumer Protection” and “Syrian Commission on Financial Markets and Securities” in order to attend the general assembly meetings.
25. Prepare and send the minutes of meeting related to general assembly meeting to the “Ministry of Internal Trade and Consumer Protection”.
26. Maintain commercial registrations for all companies and provide them to the related departments.
27. Keep the “Ministry of Internal Trade and Consumer Protection” updated with all actions and decisions that affect the commercial register and articles of association of the companies.
28. Send company’s disclosure form and financial statement to the “Syrian Commission on Financial Markets and Securities”.
29. Fill and update the life cycle of all summons for robberies and damages related to Syriatel premises, vehicles, employees and sites on the related system.
30. Register and follow up all actions related to ad-hoc incidents report on the related system.
31. Check Section & Individual objectives on regular basis and effectively participate in achieving them to ensure successful contribution to company's goals and corporate objectives.
32. Participate in conducting the OJT for new team members and promote a culture of knowledge transfer, cooperation and teamwork.
33. Contribute to the continuous improvement of Syriatel Quality Management System.


Qualifications
1. Education: Bachelor’s Degree in Law.
2. Experience: 1 Year of administrative experience is a plus.
