Responsibilities
Job Purpose and Outputs:

Provides administrative support to the YEP team to maintain an efficient office environment.

The Center assistant provides general administrative support. He/she will be responsible for the implementation and financial issues of the project, as stipulated in the program support document, handling incoming phone calls and other communications, as well as managing files, updating paperwork and other documents, and performing other general

center duties

 

Duties and responsibilities

1. Organize offers and micro-purchases and follow-up on finalizing the procurement process on time and arrange for delivery of goods and services according to activities agenda.

2. Provides general administrative support and work collaboratively with YEP center team to maximize productivity

3. Preparing monthly salary list in collaboration with the project manager.

4. Collect and keep a full track record of invoices and receipts and submit to UNDP field office.

5. Ensure logistical arrangement readiness for all project activities.

6. Keep a track record of project activities including attendance, complaints, a problem encountered, results, and achievements Monitor all project activities, expenditures, and progress towards achieving the project output

7. Monitor and evaluate overall progress on the achievement of results.

8. Provide feedback to the Project Manager on project activities.

9. Process payments, file, and archive all relevant documents (vouchers, invoices).

10. Develop budget status reports, monthly and quarterly financial progress reports.

11. Maintain inventory of records of project deliverables, documents, files, equipment, and materials.

12. Full collaboration with the project manager and UNDP field office.

13. Answering phones and routing calls to the correct person or taking messages and other communications.

14. Monitors visitor access and issues passes when required.

15. Answers questions about the center and provides callers with address, directions, and other information.

16. Managing filing system.

17. Recording information as needed.

18. Updating paperwork, maintaining documents and word processing.

19. Helping organize and maintain center common areas.

20. Coordinating events as necessary.

21. Creating, maintaining, and entering information into databases.

22. Complete any necessary administrative tasks


Qualifications
Experience:

- Two years of related experience (Finance & admin).

- Experience in community-based assistance and in participatory community actions is an asset.

- Previous experience in working with institutions of the civil society and local public organizations, especially with UNDP is an asset. Computer literacy is a prerequisite

 

Education:

University degree (economic, business administration)



Skills:

- Excellent written and verbal communication skills.

- Competency in Microsoft applications including Word, Excel, and Outlook.

- Good time management skills and ability to organize a daily workload by priorities.



Language Requirements:

- Arabic and working knowledge of English is an asset
