Responsibilities
Administration:
-Translation of official documents and correspondences;
-Schedule and coordinate meetings and appointments;
-Develop and maintain electronic and hard copy filing system
-Assist in the preparation of regularly scheduled reports;
-Organize travel arrangements for senior managers. Book travel arrangements, Submit and reconcile expense reports;
-Provide general support to visitors, greet and assist to the office;
-Assist in Prepare and monitor invoices;
-Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs;
-Maintain equipment inventories; evaluating new equipment and techniques;
-Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;
-Carry out administrative duties such as filing, typing, copying, binding, scanning etc;
-Write letters and emails on behalf of other office staff, Book conference calls, rooms, taxis, couriers, hotels etc;
-Handle sensitive information in a confidential manner;
-Develop and update administrative systems to make them more efficient;
-Resolve administrative problems;
-Any other reasonable duty as may be assigned that is consistent with the nature of the job and level of responsibility;

HR
-Help in recruitment process preparation;
-Maintain staff timesheets and follow up on monthly basis;
-Prepare and complete staff documentation needed for health insurance;
-Maintain employees files and complete documents;
-Calculate basic staff entitlements like annual leave entitlements for employees of the organization;
-Follow up on staff leaves;
-Any other tasks assigned in relative fields;


Qualifications
-Relevant university degree (business administration, English literature etc)
-High ability in reporting;
-Previous experience in administrative affairs.
-Excellent time management skills and ability to multi-task and prioritize work.
-Attention to detail and problem-solving skills.
-High skills in translation and written and oral communication in Arabic and English.
-At least 5 years of experience in the administrative field.
