Responsibilities
Planning
• Assist the Project Manager (PM) in creating detailed project work plans, ensuring clear tasks and timelines are defined.
• Develop weekly/monthly work plans for field teams, aligned with the project's overall plan.
• Support, working closely with the Technical Coordinators and the Monitoring, Evaluation, Accountability, and Learning (MEAL) department, the conduction of different monitoring activities.
Implementation:
• Collaborate with the technical coordinators to conduct technical assessments, and develop precise Bills of Quantities (BoQs) for project activities within budget limits and on obtaining approval from the respective stakeholders. Obtain final approval from Technical Coordinators on relevant BoQs ensuring they meet requirements, and ensure the obtaining of the approval by the relevant statehooders by the Technical Coordinator.
• Monitor daily activity implementation, stepping in as needed, in coordination with the Technical Coordinators for the conduction of regular technical spot checks and inspection visits.
• Inform the PM of any potential changes related to work plans, technicalities, budget, or monitoring.
• Develop and enforce weekly reporting schedules for project teams.
• Propose and implement solutions to field challenges, with support from the PM and technical coordinators, and follow the decisions recommended.
• Lead weekly meetings with project teams, sharing plans, achievements, and challenges, and sharing minutes with the PM and technical coordinators.
• Plan and coordination the conduction of monitoring missions (internal and external), collaborating with technical coordinators providing insights during discussions with donors.
• Ensure the quality drafting of the handover certificates and obtaining the stakeholder signatures with the support from technical coordinators when required.
• Ensure project activities are integrated and collaborate on integration with other projects in the same governorate.
• Incorporate and ensure the establishment of channels enhancing the implementation of the Accountability to the Affected Population (AAP) principles in coordination with the MEAL department.
• Ensure abiding by donor and WWGVC’s visibility and communication requirements in all project activities, documenting them in coordination with the Communication Officer.
Reporting:
• Compile regular/activity-specific weekly reports in coordination with the PM, with the technical coordinators informed where relevant.
• Collect Means of Verification for activities in coordination with the PM and MEAL department, aligning with MEAL plans and technical input.
• Support the PM in reporting on periodic project donor reports.
Procurement and Logistics:
• Initiate Purchase Requests (PRs) following the established procedures and budgets.
• Participate in drafting/revising tender procedures upon request.
• Participate in evaluating tenders/quotations, requesting technical assistance when needed.
• Ensure good material quality during the reception, coordinating with the Procurement team and Technical Coordinators as seen necessary.
• Request and ensure the availability of all logistics and transportation services for soft and hard component project activities.
• Support the PM in updating the project procurement plan.
• Share weekly movement plans with procurement and logistics officers.
• Keep track of all project procurement procedures.
• Any other activity necessary for the successful implementation of the project.
Financial Management:
• Assist the PM in creating activity-specific financial forecasts.
• Prepare payment documentation in line with WWGVC procedures..
Coordination:
• Share with the Technical Coordinators the needed information prior to any relevant sector coordination meetings related to project implementation.
• Coordinate with stakeholders on regular day-to-day implementation of the project in coordination with the technical coordinators.
• Coordinate with implementing partner (ex. SARC) at field level on day-to-day basis to ensure the proper and timely implementation of activities.
• Coordinate and consult with the Technical Coordinators for all technical matters.
• Support the Technical Coordinators to report on sector 4Ws.
• Attend and report on the project during regular meetings led by the Local Coordinator.
• Coordinate with the local coordinator/technical coordinators to address major challenges.
• Represent the project in internal and external meetings as required.
HR Management:
• Participate in recruiting project field staff.
• Conduct inductions for newly recruited project field staff.
• Develop, monitor, and follow up on the team's objectives.
• Track and control the attendance, overtime, and leaves of the project team.
• Address conflicts positively among team members.
• Promote open communication and feedback among project teams.
• Ensure adherence to guidelines and propose a capacity-building plan.
• Ensure that all WWGVC policies, SoPs, LOM, Code of Conduct and administrative and operational rules are respected by staff.
• Perform any other tasks assigned by the supervisor as required and related to the nature of work.


Qualifications
- At least 3 years of experience working in settings with high social complexity;
- Previous project management experience;
- Previous experience in any of these sectors: Education, WASH, Early Recovery and Livelihood, Shelter and NFI (please indicate it clearly in your job application)
- Knowledge of PCM and humanitarian aid principles;
- Fluent in Arabic and English
