Responsibilities
Job Summary
Reporting to the Operations Manager, the Logistics Assistant will provide support in the implementation of logistics-related tasks and adhere to INSO Policies and procedures.
Travel Arrangements
o Facilitating visas for INSO staff and other visitors visiting the INSO Syria Offices
o Arranging Airport Transfers for staff visiting Syria Offices and those departing
o Organizing hotel bookings when required for staff local travel
Procurement
o Obtain pricing information and ensure quotations meet required standards
o Ensure goods delivered meet agreed specifications
o Ensure procurement of goods and services is done following value for money principle
Vehicle Fleet Management
o Ensure planning of vehicle utilization
o Ensure vehicles are in good working condition- safety belts, fire extinguishers, first aid kit
o Responsible for safety in and around the vehicle for all the passengers, i.e., adhere to the vehicle’s maximum capacity, refusing the transport of any armed persons, and secure cargo transfers.
o Responsible for knowing and complying with the country’s Highway Code.
o Responsible for driving only INSO employees and cargo.
o Drive the INSO car for the missions outside of Damascus when required.
o Obtain relevant authorizations, which will be kept in the vehicle, from the INSO manager to provide transportation for any other passengers.
o Provide increased assistance to passengers arriving from outside and assist in loading and unloading luggage and/or cargo.
o Responsible for the transmission of information in an event of the accident or incident.
o Ensure compliance with use of logbooks. Properly filled and signed.
o Manage vehicle repair and maintenance schedule.
o Controlling fuel stock, maintaining fuel stock card, checking fuel stock balance and refilling tanks when 50% capacity is reached.
Goods and Stock Management
o Stock taking of consumables and provide monthly reports
o Issue staff with consumables as and when required
o Manage the store ensure its security
Office & Guest House maintenance
o Ensure office and Guest house premises and equipment are in good shape and properly maintained (plumber, electricity, minor works).
o Follows up the consumption and due payment of utilities, immediately flagging to the Administration Officer any issues or areas that need to be addressed
Assets Follow-up
o Ensure all assets are in good working condition and report those that need repairs
o Support the Physical Asset Verification

Qualifications
Knowledge, Skills, and Experience
• Bachelor’s degree in business administration/logistics and procurement, HR/Finance, educational or relevant working experience (min 2 years) in the role with a minimum of a diploma.
• 2 Years’ practical Experience working in logistics management, administration, asset management, and fleet management.
• Clean Driving history.
• Previous work experience with NGOs would be a strong asset.
• Computer literate (good knowledge of use of MS Office 365 package).
• Fluent in English (spoken and written).

• Ability to work under pressure.
• Ability to work in a multi-cultural environment

12-month renewable fixed-term contract, $1100 monthly basic salary, 1.75 working days annual leave per month, private health insurance coverage, or allowance.
