Responsibilities
Administrative management of personnel:- - - - - - - - - -
Post the Job Vacancy announcement according to the diffusion strategy decided by her/his line manager
Call applicants in all the steps of the recruitment process at his/her sub-base level
Draft contracts and amendments for staff on its sub-base and send it to his/her line manager for
approval
Organize the signature of the administrative documents from employee and collect all their
administrative documents
Welcome and participate in administrative briefing of new personnel in his / her sub-base
Ensure 1st check of all staff administrative forms are in compliance with donor and SI HR Policy (leave
requests, per diem, allowances, overtime etc.) before sending them for review and validation to the
base.
Ensure proper collection of the Recruitment files, HR files (tests, work contract, job description, personal
administrative folder etc.) and ensure a regular transmission of this documentation (hard copy) to the
DAM.
Update the monthly employee follow-up, record salary advance and data in the Attendance Sheet and
send it on a weekly basis to his/her line manager
Supervise payment of salaries after approval by the DAM
Ensure the confidentiality of all HR data
Team management - -
Train, support and evaluate team members under his or her supervision
Ensure the minimal replacement of members of the admin services in case of absence (days of, sickness
etc.)

Define the needs of the cleaner in collaboration with his/her line manager

Carry out withdrawals and payment of advances, in accordance with established procedures
Keep the advance books and cash journal up to date
Record budget allocations and accounting codes of the expenses
Before recording, check that the supporting documents complies with SI procedures
Ensure the physical maintenance and safety of cash boxes
Participate in audits or any checks issued by partners or head office, at the base level
Monitor due dates for payments of contracts managed by the Finance Manager
Translate accounting documents if necessary
Exchange currencies at request of the Finance Manager
Verify cash balances daily and report any discrepancies to superior
Archive accounting records according to Solidarites procedures after a final verification of receipts
Guarantee security of the cash and confidentiality of the information
Reporting / communication: - - -
Provide support to his/her line Manager in relation with Administrative Authorities at his sub-base level
Ensure the publication of information on the information board received from his/her line manager
Report back all information or problem linked to his/her activity to his/her line manager
Miscellaneous: - -
Participate in audits or any checks issued by partners or head office, at the base level
Perform other admin tasks as directed by the DAM, or Admin Manager


Qualifications
• Diploma (Bachelor) in administration or any relevant field, + 6 months to 1 year of experience in the
same areas.
• If no diploma or lower diploma in these areas equivalent and 1 to 2 years’ progressive experiences in
administration field will be requested.
• Advanced experience working with MS Office programs.
• Previous experience working with accounting and human resources management programs.
• Good level of the English language.
• Previous INGO experience will be a plus.

Salary and Benefits
