Responsibilities
Administration:
- Prepare employment contracts in conformity with legal requirements including specific amendments, when necessary, in order to ensure local labour and fiscal law compliance
- Update Social Security Tax office files in order to meet legal requirements and ensure amendments, when necessary, in order to ensure local labour and fiscal law compliance
- Manage personnel files in order to ensure accuracy, compliance and on-time payments
- Update the HR DBdatabase and personal files and keep them up to date in order to facilitate HR processes management
- Provide support in case of audit
- Provide advisory support to the SMT and line managers on all HR and administrative aspects as required
- Prepare monthly pay slips for staff editing and updating the necessary data, in order to ensure the punctuality and accuracy of the payroll process. Ensure regular and punctual circulation and collection of pay slips in all field bases
- Respond to inquiries from employees regarding payroll issues or concerns
- Assist the HR Manager in managing the absences through an updated leave tracker and proper archive of requests, and provide support to the staff and line managers
- Make all administrative information available to the staff (posting, meetings, etc.)
- Visit field bases, if requested
Recruitment:
- Support the HR Manager in ensuring the respect of the Recruitment Policy
- Advertise the job opportunities on the recruitment channels
- Ensure that all participants in the recruitment process sign the Conflict of Interests declaration
- Support the HR Manager in reviewing the CVs and Cover Letter and screening the applicants
- Maintain contacts with candidates throughout the selection process
- Schedule interviews and/or tests with applicants who meet the specified criteria for the position as per the recruitment process and in close coordination with the line managers Conduct reference and background check
- Any additional HR/administrative tasks delegated by the HR Manager
Representation:
- Liaise with local authorities on HR matters upon the request of the HR Manager
Accountability and safeguarding:
- Monitor regularly that HR management is in line with PSEA, CP Policies, Conflict of Interests and Internal Regulation
