Responsibilities
Responsibilities and Accountabilities
1.
Support the IBG Programme Coordinator by handling routine communication with MOI, GABC, and other authorities, including basic follow-up, acknowledgement of requests, and sharing of non-technical information.
2.
Assist in scheduling and arranging meetings, including preparing simple agendas, sharing logistical details, and confirming attendance.
3.
Support document organization, including translating short documents, formatting letters, and filing incoming and outgoing correspondence.
4.
Assist with basic logistical arrangements for trainings, visits, workshops, and meetings (venue booking, refreshments, participant lists, printing).
5.
Maintain a daily tracker of requests from government counterparts and ensure issues requiring higher-level attention are flagged to the IBG Programme Coordinator.
6.
Provide administrative support to the IBG team such as photocopying, scanning, organizing folders, archiving documents, and updating contact lists.
7.
Assist in simple preparations for activities, such as organizing training materials or preparing participant registration lists.
8.
Support liaison with Supply Chain and other units on simple follow-up tasks (e.g., checking delivery status, confirming receipt of materials).
9.
Keep the team updated on immediate, basic communication received from officials.
10.
Perform other related administrative duties as assigned.

EDUCATION

High School Diploma with five years relevant professional experience.
EXPERIENCE
1.
minimum three years of administrative, clerical, or program support experience, preferably with a UN agency, NGO, or government counterpart.
2.
Experience supporting communication or liaison functions is an advantage.
3.
Experience in organizing meetings or events is desirable.
4.
Prior basic exposure to migration, border management, or government liaison is an asset.
