Responsibilities
- Organize and archive personnel files (hard copies) in accordance with the HR filing structure.
- Digitize physical documents and upload them to the appropriate folders in the HR shared drive as per the pre-defined archiving tree.
- Ensure that each personnel file (hard and soft) is complete, with all required documents as per the checklist (e.g., contracts, performance reviews, leave forms, etc.).
- Label, index, and cross-check all documents against staff lists to ensure consistency.
- Highlight and report any missing documents or discrepancies to the HR Officer.
- Ensure confidentiality and safe handling of all HR documents at all times.
- Support in archiving FSP and Site engineers files as needed.
- Assist with other HR administrative related tasks as requested by the line manager.


Qualifications
Essential:
- Bachelor Degree in any field.
- Previous experience in admin work (secretarial – personal assistant – archiving) similar tasks
- Good level of English (written and spoken)
- Knowledge of computer skills, particularly in Microsoft Word, Excel,
- Good organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Ability to wok under pressure
- Good communication skills and a collaborative attitude.

Desirable:
• Currently studying or recently graduated specifically in Human Resources, Business Administration.
• Previous experience in humanitarian sector
• Experience in file management systems.
