Responsibilities
1.Support the Syria Mission in grant prospecting under the supervision of the Head of Mission and Programmes Coordinator. This includes donor mapping, active coordination, negotiations with potential donors, and developing concept notes and proposals.
2.Help the Programme Coordinator with the support of the relevant technical team members, especially the MEAL manager at the Damascus Coordination Office, to identify and address potential grant and reporting challenges to ensure a smooth process.
3.Support and work closely with Programme Coordinator on internal and external reporting with programs and finance, ensuring high-quality, well-written and timely reports meeting donor and SIF requirements
4.Work closely with the Technical Coordination Teams in the SIF Syria office to develop concept notes, proposals and reports through collective efforts and workflow.
5.Coordinate with MEAL team, IM, documentation and reporting team to gather and analyse quality information and maintain and monitor grant files, reporting calendars, timely submission and updating of internal SIF documentation and other grants management tracking tools (e.g. Grants tracking tool).
6.Help Programme Coordinator in grant opening, review and closing meetings, including with SIF partners, to ensure that grants are implemented in compliance with SIF and relevant donor regulations, and support strong financial and operational grant management.
7.Work closely with the Head of Mission and Programme Coordinator to coordinate with new and existing donors through regular meetings, calls, and suggest a draft of the funding strategy and advocacy strategy for each donor to steer relations.
8.Support programs as needed with Monitoring and evaluation, including capture and documentation of lessons learnt.
9.Support programs to ensure that SIF grants are well-administered and implemented in compliance with the relevant donor regulations and SIF procedures.
10.Maintain a broad and deep understanding of donor policies, regulations, and procedures and assist program technical leads and operations staff with understanding them.
11.Contribute to and coordinate the development of high-quality proposals and concept papers for submission to donors, including technical and financial offers.
12.Lead on budgeting as requested for new proposals in line with standard SIF budgeting practices, in close collaboration with relevant finance, supply chain and program staff.
13.Ensure the completion of due diligence and capacity assessment of local partners in coordination with relevant team members.
14.Support Programme Coordinator to design new business development opportunities with relevant program and field staff upon request.
15.Develop and maintain effective working relationships with all departments, partners, organisations, and actors.
16.Other duties as assigned by the Program Coordinator.


Qualifications
•Bachelor’s degree in a relevant field such as Business Administration, International Development, or Humanitarian Studies, Social Sciences is preferred.
•At least 2–3 years of professional experience in grants management, donor reporting, or project finance, preferably within an I/NGO or humanitarian organizations.
•a diploma or professional certification in finance, accounting, or project management, combined with relevant work experience, will be an asset.
•Fluency in English and Arabic (written and spoken).

Competency:

•Finance skills: Basic budgeting and understanding of expenditures. Full accounting is usually handled by the finance team.
•Networking / Donor Management: Important for maintaining good donor relations and ensuring timely, accurate reporting.
•Reporting & Compliance: Core responsibility - both financial and programmatic reporting.
•Strong understanding of donor regulations, compliance requirements, and financial reporting standards.
•Excellent analytical, organizational, and problem-solving skills.
•Proficiency in Microsoft Office, especially Excel; experience with grants management or accounting software is an asset.
