Assemblies Operations Coordination:
Assist in preparing, facilitating, documenting, and following up on assemblies' meetings and outcomes.
Ensure action points from assemblies are properly tracked, implemented, and reported, and provide regular updates to the Assemblies Unit Manager.
Maintain accurate and up-to-date records of assemblies' activities, outputs, and member engagement.

Supervision of CME Officers:
Supervise the performance of CME Officers in monitoring assemblies' discussions, documenting outcomes, attending meetings, and ensuring that their activities are consistently aligned with the assemblies' objectives and the organization's strategic goals.
Review and consolidate periodic reports from CME Officers to ensure consistency, completeness, and quality.
Provide operational guidance and facilitate communication between CME Officers, assemblies, and relevant departments.

Programmatic Support and Coordination:
Assist in coordinating preliminary programmatic activities related to medical missions and CME initiatives, ensuring their alignment with assemblies' outcomes.
Support the operational aspects of new project ideas by coordinating technical reviews and feasibility assessments with CME Officers.
Liaise with internal stakeholders (related section in Syria Office.) to ensure smooth implementation of activities where needed.
Coordinate with the Liaison Officer within the unit, as well as with the focal points for Medical Education (ME), Medical Missions (MM), and the Syria Health Program.
Develop operational tools to organize assemblies and CME work, assist the Unit Manager in finalizing them, and monitor CME Officers' adherence to these tools.
Draft preliminary plans for educational projects, medical missions, and related activities, and prepare initial concept notes for submission to the Unit Manager for review and approval.
Design structured, specialty-based educational courses, organize their curricula, and maintain precise and accessible records of all educational materials.
Establish and manage a scientific library that consolidates outputs from medical education activities and oversee the sharing of these resources with relevant stakeholders.
Formulate targeted medical education plans to address identified workforce gaps based on needs assessments conducted by assemblies' members.
Coordinate and follow up on needs assessments to support evidence-based planning for medical education initiatives and activities.
Organize and manage the volunteering process for doctors within the assemblies, including receiving and documenting volunteering requests, preparing preliminary scheduling based on initial prioritization, and discussing proposed scheduling with the Assemblies Unit Manager to ensure alignment with mission needs and priorities.
Develop and maintain practical tracking tools, templates, and documentation systems for assemblies’ outputs and CME activities.
Ensure proper archiving of meetings' minutes, reports, and other operational documents according to internal standards.
Contribute to the continuous improvement of unit workflows by identifying gaps and suggesting practical enhancements.
Monitor operational risks and challenges related to assemblies and CME activities and immediately escalate major issues to the Assemblies Unit Manager.
Propose operational solutions to minor challenges to ensure continuity and quality of activities without delay.

Reporting:
Prepare consolidated monthly, quarterly, and ad-hoc reports summarizing assemblies' progress, CME Officers’ updates, and key operational achievements.
Review and consolidate CME Officers’ reports and ensure their alignment with unit objectives before submission to the Assemblies Unit Manager.
Ensure that reporting outputs are data-driven, timely, clear, and aligned with the Assemblies Unit’s goals.


Qualifications

Specific Vacancy Requirements
Bachelor's degree in Health Sciences, or a related field.
Minimum 2 years of relevant experience in medical education, healthcare project coordination, or volunteer management, preferably within humanitarian or nonprofit settings.
Excellent communication, coordination, and stakeholder engagement skills.
Demonstrated ability to manage multiple tasks, prioritize work, and meet deadlines under pressure.
Solid understanding of medical education principles, healthcare facility operations, and capacity building practices.
Strong skills in project planning, documentation, and report writing.
Strong problem-solving skills and ability to propose practical solutions to operational challenges.
Excellent command of English and Arabic (written and spoken).
Strong computer skills (Microsoft Office Suite, especially Word, Excel, and PowerPoint).
Strong ability in operational coordination and team supervision.
Ability to develop and maintain simple monitoring tools and templates.
Good understanding of medical education projects is a plus.

Salary and Benefits
