Responsibilities
- Carry out day-to-day logistical functions of the programme, including procurement, supply chain, stock management, warehousing, transport, facilities, communication or IT, maintenance, and asset tracking.
- Conduct regular quality checks on equipment and supplies to ensure proper condition and value for money.
- Work with relevant team members and field management to ensure the security of Medair bases, property, and equipment.
- Coordinate the booking of training venues, hotel accommodation, and transport arrangements (including private vehicles) for staff as required.
- Follow up on facility and equipment maintenance needs, including vehicles and related assets.
- Support stock management processes, including receiving, issuing, and updating stock records.
- Support the preparation and updating of inventory and asset reports, ensuring accuracy and timely submission.
- Assist in tracking Medair assets, ensuring proper labelling, documentation, and regular inventory checks.
- Follow up on supplier payments to support timely processing and compliance.
- Ensure all logistics activities are carried out in line with Medair guidelines, procedures, and donor requirements
- Ensure proper use and safeguarding of Medair equipment and resources at all times.
- Use Medair systems and tools to support logistics and procurement processes.
- Drive Medair staff and transport goods safely and responsibly to field sites, meetings, and other required locations.
- Conduct daily and weekly vehicle checks, ensuring cleanliness and basic maintenance in line with Medair guidelines.
- Maintain accurate vehicle logs, including trips, mileage, fuel consumption, and maintenance records.
- Ensure all required vehicle documents and equipment are up to date and available, including insurance, registration, logbook, first aid kit, and necessary spare parts.
- Ensure compliance with Medair security procedures and movement protocols during all field travel.
- Report any accidents, incidents, or mechanical issues immediately to the line manager.
- Ensure passengers always follow safety measures.
- Ensure a clear and transparent paper trail is in place for all logistical transactions, that records are kept in an orderly and timely fashion and that the filing (archive) system is in line with Medair and donor requirements.
- Contribute, as required, to the accurate and timely reporting of activities e.g. through weekly and monthly reports.
- Maintain a transparent, honest and supportive communication structure with colleagues to ensure they are kept informed of applicable logistical activities and requirements.
- Develop and maintain positive relationships with suppliers, other NGOs and any other stakeholders, representing Medair and ensuring good co-operation and partnerships.
- Be aware of the potential for loss or fraud in logistical activities and procedures. Pro-actively work to prevent such occurrences by working with relevant line managers to improve transparency and to ensure the best use of Medair assets and resources.

Qualifications
- Intermediate Institute degree or equivalent in logistics, supply chain, management, business administration, or a relevant subject and a valid driving license.
- Minimum 2 years post-qualification professional experience.
- Good Arabic and English (spoken and written)
- Computer literate with good working knowledge of Microsoft Excel, Word and Outlook
- Previous NGO experience is Desirable
