Responsibilities
General Work Experience:
One year of experience in general office secretarial or administrative tasks. In general, able to support operations by assisting, helping, organizing and sharing in implementing administrative systems and monitoring the work progress.
MAIN DUTIES/RESPONSIBILITIES:
• Report to Supply chain coordinator and Senior SC Officer and perform tasks set as required
• Manag the fleet for all the projects and arrange the movement plans according to the program needs, manage the drivers and coordinate the transportation tasks, check and examine the vehicles’ ability and readiness for movements, control the attendance sheet and the car logs for the drivers.
• Manage the administration needs in the office and coordinate with all the department, Manage the office store and register all in and out supply, Prepare the PR for the quarter need accordingly.
• Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents.
• Sort incoming mail, and courier deliveries for distribution also checking accuracy of office bill calculations, coding, and data, and supply.
• Prepare and send outgoing mail, and courier parcels.
• Forward incoming general e-mails to the appropriate staff member
• Coordinate with supply chain Department to manage and oversees the staff and visitor guesthouse maintenance and relationship with landlords etc. as required and follow up when needed.
• Purchase, receive and store the office supplies ensuring that basic supplies are always available
• Code and file material according to the established procedures
• Update and ensure the accuracy of the organization's databases
• Back-up electronic files using proper procedures
• Provide secretarial and administrative support to management and other staff
• Make travel arrangements, and prepare travel documentation as required for staff and Syria Relief visitors.
• Coordinate the maintenance of office equipment
• Managing all secretarial tasks of the office needs like
• Arrangement of all internal meetings and Coordination between departments.
• Stationary
• Kitchen
• Meeting room
Coordination and arrangement of all outside visits:

• Guesthouse
• Programs
• General care and needs

Qualifications
High school or Diploma in business management or accounting or economy or any logistics related field. preferred but not required.
• Languages: Good in Arabic other language will be desired especially (English)
• Good time management
• Skills and proficient in excel, word, outlook, and access
• Admin tasks Management
• Strong organization, work prioritization
• Strong people skills: good communication and networking
• Effective at negotiation and persuasion
