Responsibilities
General Role:
The Stabilization Support Unit (SSU) / Stabilization Organization is seeking to recruit Registration Officers to work within community centers and project intervention areas in Manbij and Al-Safira.
The Registration Officer is responsible for receiving beneficiaries, conducting registration and initial assessment processes, and collecting and managing data in accordance with approved standards to ensure accurate identification of needs and referral of beneficiaries to appropriate services through an effective and secure referral system. The role also contributes to database management, updating beneficiary records, and preparing statistical and analytical reports to support planning and decision-making processes.
This position requires a high level of accuracy, confidentiality, and professional commitment, as well as strong communication skills, data management competencies, and the ability to work directly with local communities and vulnerable groups, while adhering to humanitarian principles, protection standards, non-discrimination, and data protection requirements.

Duty Station: Manbij and Al-Safira – Aleppo Governorate

Residency Requirement: Applicants must be residents of Manbij or Al-Safira, or permanently living in either location.

Duties and Responsibilities:
1. Conduct interviews with persons of concern (PoCs) to identify all factors affecting their protection and refer them to appropriate services based on the assessment, while prioritizing the most vulnerable cases.
2. Ensure the accurate entry of beneficiaries’ core data into the center’s approved registration system and update previously registered beneficiary records reliably and accurately.
3. Conduct field-based interviews outside the center when necessary to assess individuals who are unable to access services and refer them to appropriate support.
4. Develop and regularly update a comprehensive service mapping of available services in the area to ensure beneficiaries’ needs are effectively addressed.
5. Refer beneficiaries to available services and follow up on referrals to ensure continuity of support.
6. Manage beneficiary databases, including preparing operational worksheets using Excel and Access, and analyzing data to provide accurate insights that support planning and decision-making.
7. Adhere to the policies, objectives, and values of the Stabilization Support Unit in all aspects of work.
8. Prepare and submit periodic and ad hoc reports, including statistical summaries and beneficiary data analysis.
9. Maintain strict confidentiality and privacy of beneficiary information and ensure secure storage of all records.
10. Participate in training, professional development activities, and coordination meetings as required.
11. Perform any additional tasks related to the scope of work as assigned by direct management.


Qualifications
Required Qualifications:
- Bachelor’s degree in Business Administration, Social Sciences, Statistics, Information Systems, Computer Science, or any related field.
- Minimum of two years of professional experience in registration, data management, humanitarian work, protection, or community services, preferably with local or international NGOs.
- Proven experience in data collection, data entry, database management, and preparation of statistical reports.
- Good understanding of protection principles, referral mechanisms, accountability to affected populations (AAP), and personal data protection.
- Strong proficiency in Microsoft Office applications, particularly Excel; knowledge of Access or electronic registration systems is highly desirable.
- Ability to conduct interviews and communicate effectively with beneficiaries from diverse backgrounds.
- Strong organizational, time management, follow-up, and data accuracy skills.
- Ability to work effectively within a team and in dynamic field environments under pressure.
- Good report-writing skills, including narrative and statistical reporting.
- Fluency in Arabic, both written and spoken; knowledge of English is an asset.
- Residency in Manbij or Al-Safira is a mandatory requirement.
