Responsibilities
-The Administrative Assistant in the International Humanitarian Law (IHL) department provides secretarial, administrative, and financial support to the department.
-Creates and maintains paper or electronic files up-to-date.
-Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents.
-Updates the timeline, tables and charts, schedule, and other tools and ensures invoices are followed up on.
-Prepares for meetings by setting up rooms and materials, including technical set-up, presentations and videos conferences.
-Carries out secretarial tasks such as making photocopies, destroying documents, and managing stationery stocks.
-Manage petty cash as per ICRC accounting/safety procedures and be responsible for monthly financial records and forecasting.
-Preparing requested initial drafts of verbal notes and letters in English, and their Arabic translation, sending and filing.
-Supports the organisation of workshops/seminars etc., by ensuring proper logistical, administrative and financial procedures are followed.
-Follows up with commercial service providers on all matters related to event organisation.
-Provides translation support (Arabic-English, vice versa) in internal and external meetings/events, as needed
-Contributes to the institutional planning/budgeting and reporting obligations of the IHL department.
-Supports events and activities organized outside Damascus, and the ability to join frequent overnight field trips
-Supports the participation in external events abroad, by ensuring that proper logistical, administrative, and financial procedures are followed.

Qualifications
- University degree, preferably in a finance-related field.
- Good command of written and spoken English.
- Good computer skills, including Microsoft Office suite.
- 2 years’ experience in secretarial position.
