Responsibilities
Preparing and managing the medical mission activities which are taking place inside Syria. These missions aim to provide lifesaving, critical, and advanced/specialized medical services to people in need within Syria, with an additional objective of enhancing the capabilities of SAMS’s medical personnel. So, this position is important for coordinating and organizing the logistical and technical aspects of the missions, all while considering the different operational contexts within Syria


Qualifications
Tasks and Responsibilities
1. Coordinate the planning and implementation of assigned medical missions in collaboration with relevant internal departments and external stakeholders.
2. Prepare mission implementation plans, schedules, and activity timelines.
3. Coordinate mission activities with hospitals, health facilities, universities, and local health authorities.
4. Ensure mission activities are implemented according to approved plans and organizational objectives.
5. Monitor mission progress and report operational issues to the direct supervisor.
6. Maintain regular communication with volunteers before, during, and after each mission.
7. Support volunteers in resolving operational and logistical issues during their participation.
8. Coordinate with Administration, Logistics, Procurement, HR, Security, and Liaison departments to facilitate mission implementation.
9. Coordinate accommodation, transportation, airport transfers, domestic travel, and movement between mission locations.
10. Follow up on border crossing permissions, visas, governmental approvals, and customs-related requirements when applicable.
11. Ensure all logistical arrangements are completed before volunteer arrival.
12. Coordinate clinical activities including consultations, surgeries, medical interventions, outreach visits, and specialized services.
13. Coordinate training workshops, lectures, bedside teaching, simulation sessions, and other educational activities.
14. Prepare and distribute mission schedules to volunteers, hospitals, and relevant departments.
15. Coordinate with local focal points to ensure the readiness of mission sites.
16. Prepare purchase requests for mission-related medical supplies, equipment, transportation, accommodation, and operational services.
17. Coordinate with Procurement and Warehouse teams to ensure timely availability of required supplies.
18. Follow up on the distribution of medical consumables and equipment to mission sites.
19. Serve as a communication focal point between volunteers, hospitals, mission committees, and internal departments.
20. Create and manage specialty-specific communication groups to facilitate collaboration between international volunteers and local healthcare providers.
21. Coordinate mission updates and operational information with all relevant stakeholders.
22. Coordinate with the MEAL Department to collect mission data and performance indicators.
23. Maintain accurate records of mission activities, volunteers, and operational documentation.
24. Prepare mission reports, activity summaries, and lessons learned following each mission.
25. Contribute to the preparation of monthly and periodic departmental reports.
26. Coordinate with the Media Department to document mission activities through photographs, videos, beneficiary stories, and promotional materials.
27. Ensure documentation complies with organizational policies regarding privacy and confidentiality.
28. Report operational risks, challenges, and non-compliance issues to the direct supervisor.
29. Support continuous improvement initiatives by documenting recommendations and lessons learned.
30. Participate in departmental meetings and planning sessions.
31. Support emergency response missions and rapid deployments when required.
32. Perform any other duties assigned by the direct supervisor.

Specific Vacancy Requirements
Technical Skills
1. Medical mission planning, implementation, and coordination
2. Volunteer coordination and communication
3. Coordination with hospitals, healthcare facilities, and relevant stakeholders
4. Basic knowledge of Monitoring, Evaluation, Accountability, and Learning (MEAL), reporting, and data collection
5. Procurement, logistics, and operational coordination
6. Proficiency in Microsoft Office Suite and Google Workspace; experience with KoboToolbox or other data collection platforms is an asset
7. Strong communication, organizational, problem-solving, time management, teamwork, and coordination skills
8. High level of professionalism, integrity, accountability, and adaptability in humanitarian settings
