Key Responsibilities

Human Resources & HR-Related Administration

Personnel Records and HR Documentation
Maintain accurate and up-to-date electronic and physical personnel files, ensuring that all required HR documents, including contracts, amendments, job descriptions, attendance and leave records, training records, and other relevant documentation, are complete, properly filed, confidential, and easily retrievable.
Recruitment Administration and Tracking
Support the recruitment process by collecting applications, preparing recruitment documentation, arranging interviews, and maintaining accurate and up-to-date recruitment trackers, including candidate information, recruitment stages, interview outcomes, and hiring decisions.
New Joiners and Onboarding
Maintain the New Joiners Tracker and support the full administrative preparation of new joiners, including preparing onboarding documents and checklists, collecting and checking required paperwork, obtaining signatures and approvals, and ensuring that all documentation is properly filed in the relevant personnel files.
HR Trackers, Records and Deadlines
Ensure that all HR trackers, databases, staff contact lists, personnel records, and other HR documentation are updated accurately and within the deadlines set by the HR Department. Follow up with staff and line managers on outstanding information, documents, signatures, and approvals, and promptly flag delays or issues to the HR Officer.
Attendance, Leave and Staff Records
Maintain accurate attendance and leave records and ensure that leave requests, work-from-home arrangements, and holiday work are appropriately approved by the relevant line managers before records are updated or action is taken.
Training and Induction Support
Support the HR Officer in coordinating staff induction and mandatory training, including Safeguarding, Code of Conduct, and Safeguarding Reporting Channels. Maintain accurate training records and ensure that completion is documented and filed within the required timeframe.
HR Reporting and Data
Support the HR Officer with weekly and monthly HR reporting by providing accurate and timely information on recruitment, new joiners, staff changes, documentation status, training, attendance, leave, and other HR activities.
Communication and Follow-up
Maintain clear, professional, and timely communication with staff, line managers, and the HR team. Follow up on HR actions assigned by the HR Officer and ensure that agreed tasks and deadlines are met. Escalate any discrepancies, sensitive matters, or issues requiring management attention.
Confidentiality and Data Protection
Maintain strict confidentiality of all employee personal information, employment records, and HR-related information. Ensure that HR information and documentation are handled securely and shared only with authorised personnel in accordance with HALO policies, procedures, and applicable data protection requirements.
HR Procedures and Escalation
Follow HALO HR policies, procedures, and established HR processes. Refer all major, sensitive, or HR-related decisions outside the Assistant's authority to the HR Officer before implementation.
General HR Administrative Support
Provide administrative support to the HR Officer, including preparing HR letters, forms, certificates, memos, filing and scanning documents, tracking approvals, and completing other HR-related administrative tasks as required.
3. General Duties

Follow HALO's core values and mission in all work.
Support the achievement of programme and business plan objectives.
Follow HALO policies, procedures, and relevant guidelines, and keep updated on programme activities and changes relevant to the role.
Maintain professional and respectful working relationships with colleagues, staff, and managers across the programme.
Work collaboratively with HR, Programme, Finance, Logistics, and other departments when required to support HR processes.
Travel within Syria, and to other HALO programmes if required.
Follow HALO's Health and Safety procedures.
Undertake any other HR-related duties reasonably assigned by the HR Officer or line manager, within the scope of the position.
Properly handle complaints and grievance procedures
Coordinate communication with candidates and schedule interviews
Conduct initial orientation to newly hired employees
Assist our recruiters to source candidates and update our database

Qualifications
Job requirements
Bachelor's degree in Business Administration, Human Resources, or equivalent.
Good organizational skills and attention to detail.
Good written and verbal communication skills.
Proficiency in MS Office applications, including Word, Excel, and PowerPoint.
Ability to handle sensitive and confidential information with discretion.
Good interpersonal skills and ability to work well in a team environment.
Ability to prioritize and manage multiple tasks effectively.
Knowledge of labor laws and regulations is a plus.
