Responsibilities
The IM Assistant will be responsible for maintaining all contract‑related data and ensuring its accuracy, quality, and consistency. The role includes the following key responsibilities:
•Data Cleaning: Maintain and update all contract data to ensure accuracy and completeness.
•Data Analysis: Extract and interpret specific information from the database as required.
•Archiving: Organize and archive contract documents properly, including both hard copy and digital records
•Reporting: Prepare ad hoc reports and summaries whenever requested.

Information, data management, and program tools

•Implement policies for managing organization wide information, ensuring compliance with data protection laws and internal standards.
•Enter data into various computer databases and manage database records efficiently and accurately.
•Ensure data quality across all contracts by maintaining consistency, accuracy, and validity.
•Participate in designing data analysis tools using appropriate software.
•Contribute to both quantitative and qualitative data analysis when required.
•Respond to information requests from authorized members in a timely and accurate manner.

Archiving and backup

•Archive all data to the designated storage locations in accordance with organizational procedures.
•Ensure all archived data follows the approved structure, naming conventions, and security requirements outlined in organizational policies.
•Create and maintain regular data backups as part of the organization’s contingency recovery plans.

Mapping and visualization:

•Produce simple maps related to implemented activities using GIS software such as ArcGIS Pro, QGIS, and other relevant tools.
•Generate KML and KMZ files to support the visualization and documentation of implemented activities.


Qualifications
Bachelor’s degree in computer science, Information Systems, or related field. Lower level of education with relevant experience may be considered.
1–2 years of experience in information management or database management with NGOs.
Strong computer skills.
Previous experience with mobile data collection tools (e.g., ODK, Survey123, Kobo).
Experience in data analysis using Excel, BI, or other analytical tools.
Experience in managing large datasets.
Experience in mapping using QGIS, ArcGIS, or other GIS tools.
Experience in preparing reports

Soft skills
Excellent interpersonal and analytical skills with attention to details.
Ability to work well under stress and in a challenging environment.
Excellent time management skills and ability to multi-task and prioritize work.
Ability to work independently while maintaining clear communication with different teams.
