Responsibilities
The QM & Training Assistant supports the implementation of Training and Quality Management (QM) systems at office level. The role focuses on administrative, logistical, and coordination support for training activities.
Working under the direction of the Training & QM Supervisor and Officer, the Assistant contributes to the smooth delivery of training programmes and supports quality management processes, including documentation, non-conformity tracking, and reporting. The role is primarily support-focused and plays a key part in ensuring operational effectiveness through strong administrative and organisational assistance.

Training Support (Administration & Logistics)

-Support the planning and coordination of training activities
-Assist in organising training logistics, including venues, materials, equipment, and attendance tracking
-Prepare training documentation, registers, and filing systems
-Support procurement processes related to training (materials, supplies, equipment)
-Ensure required approvals (including finance approvals) are obtained prior to training activities
-Assist trainers during training delivery with administrative and logistical support

Quality Management (QM) Administrative Support

-Assist in maintaining QM records, including QA reports and documentation
-Support the tracking and filing of non-conformities and corrective actions
-Maintain updated databases and records using approved systems
-Follow up on corrective actions with relevant teams as directed
-Ensure proper documentation and archiving of QM-related materials

Reporting & Data Management

-Support the compilation and organisation of training and QM reports
Assist in data entry and maintaining accurate records in systems such as Survey123 or other tools
-Ensure timely submission of required documentation to supervisors

Coordination & Support

-Liaise with operations, logistics, and finance teams to support training and QM activities
-Assist in coordinating schedules and communications related to training events
-Provide general administrative support to the Training & QM Supervisor and Officer

General Responsibilities

-Maintain organised records and documentation systems
-Support audits and inspections by providing required documentation
-Carry out other duties as assigned by the Training & QM Supervisor or Officer





Qualifications
-Experience in HALO Syria operational activities (NTS, EORE, EOD, Clearance) is an advantage
Basic computer literacy (MS Word, Excel, data entry systems)
-Good numeracy and literacy skills
-Previous administrative or logistics experience is desirable
-Strong organisational and communication skills
-Basic written and spoken English

Specific Vacancy Requirements
