Responsibilities
Goal / Purpose:
Under the management of the Conformity and Risk Manager, the Archivist is responsible of SI Syria mission archives room set up and organization. S/he ensures the respect of the archiving procedures of Solidarités International including global guidelines issued by HQ and those specific to the mission.

List of main tasks:
Archiving:
- Ensure that the Coordination Office archives are maintained in a clean, safe, and accessible environment, taking into account the level of sensitivity of documents.
- Follow up with all bases in Syria to guarantee the timely shipment of archives to the Coordination Office.
- Lead the review of archives received, and communicate with bases to address missing information or incomplete files.
- Maintain and update archiving trackers, including the online tracker, to ensure continuous follow-up and full traceability of documents.
- Verify that all archive binders comply with Solidarités International’s archiving SOPs.
- Scan and back up documents that are not yet digitized or secured.
- Coordinate with bases to ensure the timely and complete shipment of archives to HQ.
- Ensure that all documents sent by bases are scanned before shipment, and conduct spot checks to confirm the completeness of scanned archives across different transaction types.
- Perform additional spot checks in other areas assigned by the Conformity Manager.
- Guarantee overall compliance with SI archiving SOPs.
The above list is non-exhaustive, nor limitative. The Archivist could be assigned other responsibilities and tasks within the framework of his/her job on demand of the Conformity and Risk Management Manager.



Qualifications
Looking for a motivated and curious Archivist with a degree in business administration, or a relevant field, 0-2 years of experience (in archiving or the humanitarian sector support functions) - One who is eager to take the opportunity of his/her exposure to archives to learn and grow in the sector, a colleague willing to go the extra mile for the success of the mission.
Language: Good english language skills necessary; Arabic Language proficiency is important. Excellent communication skills are required to communicate about archives to employees at all levels.
Note: working with the archives entails moving boxes in the archives rooms (office setting); unpacking boxes weighing 10 - 15 KG, and packing archives into metallic boxes.

Salary and Benefits
